Sample Clubhouse Rental Contract

The following is a sample of the contract to be signed by ANY resident wishing to utilize the Watters Crossing clubhouse (990 Bel Air Drive) for any event or function.

The Watters Crossing clubhouse is strictly for the social use and benefit of the residents of Watters Crossing. It is not for use, at any time, by a for profit business, of any type.

1. In order to use the clubhouse, you MUST be a resident of Watters Crossing, and you MUST certify that you will be present for the entire event. All deposit/rental fee checks must originate from a Watters Crossing address. All underage gatherings must be supervised by an adult resident (21 or over).

2. In order to use the clubhouse, a refundable $200.00 check is required. This check will be fully refunded (by shredding) only if the following conditions are met:

A. Attached cleaning checklist is completed in full and signed off on by person(s) who sign this contract. The clubhouse will be checked by the clubhouse coordinator after each event to ensure compliance.

B. The clubhouse is returned, IN FULL, to its original condition, including, but not limited to: - All furniture returned to its original position. - All lights turned off. - All windows closed and locked. Wooden bars to be in sliding doors in main room. - Alarm system armed. - ALL decorations from event removed in their entirety. Nothing should be taped, stapled, or nailed to walls, doors, or ceilings. - All garbage removed to dumpsters and plastic trash can liners replaced in all interior trash cans. - No damage to clubhouse, i.e. broken windows, furniture, refrigerator left open, etc.

C. There is no fireplace use.

D. There is NO SMOKING inside the clubhouse.

E. There are no overnight stays allowed in the clubhouse.

F. Do not leave any food in the clubhouse overnight.

G. All decorations MUST be removed when function is over.

H. A clubhouse reservation is NOT a reservation for the pool. If you intend to use the pool, please follow all pool guidelines. The pool guidelines state that guests are limited to two per Watters Crossing resident in attendance. Failure to comply with any of the above conditions may result in the immediate loss of the $200.00 deposit check. Any damages in excess of $200.00 are the financial responsibility of the renting party (parties).

Clubhouse fees

In order to use the clubhouse, a non refundable fee must be paid. The fees are as follows:

- $25.00 for during the week (Monday through Thursday)

- $50.00 for periods of rental from 0-4 hours (Friday, Saturday, and Sunday)

- $75.00 for periods of rental from 4-7 hours (Friday, Saturday, and Sunday)

- $100.00 for periods of rental for greater than 7 hours (Friday, Saturday, and Sunday).

- Rental time periods include your set up and clean up time.

 

Clubhouse Cleaning and Security Checklist

This list MUST be completed in full prior to leaving the clubhouse. Your signature is required on this document before returning the key to the clubhouse coordinator. Please initial on the assigned space, indicating that you have completed the task.

Cleaning supplies can be found in the kitchen, and vacuum and mops are in front hall closet. You WILL be assessed for all items that are found to be in non-compliance.

 Lock ALL doors and close and lock ALL windows before leaving. For DOOR(S) UNLOCKED THERE WILL BE A FEE ASSESSED!!! FEE $50

 Set alarm before leaving. The code is ****, and you do NOT need to use the # or * buttons. FEE $50

 Return key to clubhouse coordinator. FEE $50

 Sweep and vacuum all floors. FEE $20

 Mop after any functions where food is served. FEE $10

 Clean counter tops, tabletops, stove, and microwave. Make sure refrigerator and freezer doors are closed. FEE $10

 Put ALL trash (from kitchen and bathroom) in the bins located outside.

 Replace trash can liners in kitchen and both bathrooms before you leave. FEE $20

 Turn the air conditioning to 80 degrees (summer season) or the heater to 65 degrees (winter season) before you leave. FEE $10

 Return all furniture to its original position in all rooms used. Please LIFT furniture—do not drag, it will damage the floor. FEE $20

 Turn off all lights and ceiling fans. FEE $20

 Remove ALL decorations prior to leaving. NO tape of any kind on walls. Instead use tape on glass windows. All wall damage will be deducted from your deposit. MINIMUM FEE $20

Please report any damages, household cleaning supply refill needs, or an unclean clubhouse to the coordinator immediately. Thank you for your cooperation, and have a great time!

Reserving the clubhouse does not entitle private use of the pool.

Clubhouse Issues and Rules

The use of the Community Clubhouse of Watters Crossing is one of the many benefits, and privileges, of living in Watters Crossing. The main source of funds for the maintenance and upkeep of the facility is thru your dues. Rental fees help to defray this cost. Below are the clubhouse rules, including assessments that are deducted from the renter’s security deposit, when the clubhouse is not left in acceptable condition. It is critical for all renters to review the checklist supplied with the clubhouse keys for any issues within the clubhouse when they arrive. Any cost for any issues discovered in the clubhouse are charged to the most recent renter of the facility.

The majority of people leave the clubhouse in excellent condition. However, there are some that do not adhere to the rules.

THE ISSUES MOST FOUND AT THE CLUBHOUSE ARE:

• Failure to set the alarm. As we have had vandalism in the area of both the Phase I and Phase II pools in the past, it is critical that the alarm is set at the clubhouse when you leave and “lock up”. That would bring us to our second most found issue;
• Failure to lock one or more doors to the clubhouse. The renter’s checklist includes checking that all doors are locked securely.
• Failure to return furniture, folding chairs to their original locations. Leaving folding tables and chairs out for someone else to store will cause a deduction to security deposits.
• Failure to observe the rule that no helium balloons are permitted within the clubhouse. Loose balloons become entangled in the ceiling fans and damage the motors. This is what happened with the two previous fans that were replaced last year.
• Failure to observe the rule that no adhesive tape is permitted on any clubhouse painted surface, both inside and out. Scotch tape either tears the paint off or is left for someone else to remove.

The clubhouse is a facility for use by Watters Crossing residents only. Your dues pay for all damage that occur there. We must all work together to maintain this facility to the highest standard.

Below are the rules and assessments for the rental of the clubhouse in their entirety. You will also find more clubhouse info in the clubhouse portion of the web site at www.watterscrossing.com

CLUBHOUSE RULES

• DO NOT tape, staple, or glue anything to any surface within this clubhouse or on the outside. Pushpins may be used if removed.
• DO NOT fasten any decorations to any light fixtures or other decor.
• DO NOT remove any furniture from any room to any other room, with the exception of:


• The folding tables and chairs in the rear room closet. These MUST be returned to the closet following your function.
• The six chairs in the center dining room at the large table. These MUST be returned to their original positions in the dining room following your function.


• If rearranged, all furniture must be returned to its original location within that room.
• Helium balloons are NOT permitted at any time. Non-helium filled balloons may be used.
• DO NOT leave dishes in the dishwasher. There is no maid.
• DO ensure that ALL doors are locked completely, when leaving:


• Two front doors in middle room.
• Kitchen door
• All four French doors. Ensure all sliding bolts on second door of French doors are engaged.
• Front door.


• DO ensure that alarm is set.
• SMOKING IS NOT PERMITTED neither within the clubhouse nor on the clubhouse grounds at any time.
• Maximum Clubhouse Capacity Rental is 100 persons
• ALL DEPOSIT CHECKS MUST BE FROM A WATTERS CROSSING RESIDENT WITH A WATTERS CROSSING ADDRESS PREPRINTED ON THE CHECK AND OR A CASHIER CHECK/CASH with a copy of the Watters Crossing Residences Drivers License. THERE ARE NO EXCEPTIONS. If this is not adhered to, the event will be automatically cancelled and keys will not be available for pick-up! Your reserved time is the only time that you personally have the clubhouse; that DOES NOT allow you to drop off items early or clean-up late. THERE ARE NO EXCEPTIONS. It is disrespectful to the residents that have that time reserved and have paid for their event to be private! IF YOU NEED MORE TIME THEN YOU MUST PAY FOR MORE TIME! If your party may run late, it is recommended that, if you don't want to stay late and clean, you must pay for a 2 day rental which is $200.00
